VoIP and PBX are not the same thing
VoIP describes how voice travels over the network. The PBX controls how calls enter, leave, and circulate among extensions. It is the PBX that applies queues, IVR menus, schedules, permissions, transfer, and contingency rules.
This distinction prevents an incomplete purchase. Contracting only connectivity does not organize customer service; choosing a system without evaluating the network also does not guarantee stable audio. The project needs to combine both layers.
Prepare the network for voice traffic
Calls are sensitive to delay, jitter, and packet loss. Congested Wi-Fi, links without capacity, misconfigured routers, or other applications competing for bandwidth can degrade the conversation even when the internet seems to work.
The assessment should consider access points, routes, firewall, traffic prioritization, headsets, and behavior during failures. Tests with peak scenarios help decide whether the current network supports the expected number of simultaneous calls.

Choose how each team uses the extension
An extension can be accessed via softphone, IP phone, or other device compatible with the project. The choice depends on the environment, mobility level, headset needs, and the company's equipment policy.
Remote teams may prioritize software; reception and fixed areas may prefer dedicated devices. The important thing is to maintain identity, permissions, and corporate rules regardless of the access point.
Plan numbers and transition without interrupting operations
Existing numbers, new numbering, portability, DDD area codes, schedules, and routes need to be surveyed before the change. Feasibility depends on the modality, carrier, and holder documentation.
A transition plan defines tests, internal communication, change window, and contingency. It also establishes who validates incoming calls, outgoing calls, IVR, queues, recording, and caller ID.
Treat security and integration as part of telephony
Extension credentials, dialing permissions, recordings, and call logs require access control. Retention and usage policies must respect purpose, contract, and obligations applicable to the company.
When connected to CRM and customer service, the call can enter the history and trigger tasks. This integration needs to define which events are recorded, who can consult them, and how exceptions are handled.
