A softphone is IP telephony software. After registering an extension's credentials, it allows making and receiving calls over a data connection.
- check_circleA softphone is not the PBX: it is one of the access points to the extension.
- check_circleAudio depends on network, device, headset, and configuration.
- check_circleCredentials and permissions must be individual and protected.
How the softphone registers an extension
The user accesses a compatible app or environment and authenticates with the credentials defined for the extension. From this registration, the PBX knows where to route calls and which permissions to apply.
When making a call, the audio is converted into data and travels over the network to the telephony service. For the recipient, the displayed caller ID depends on the numbering and rules configured by the company.
Softphone, IP phone, and PBX play different roles
The softphone is an app. The IP phone is a dedicated device that also uses the network. The PBX manages the extensions, numbers, queues, schedules, transfers, and routes used by both.
A company can combine devices according to the workstation. Reception, home office, outside sales, and supervision have different needs for mobility, ergonomics, and availability.
What to evaluate before using
Stable network, capacity for simultaneous calls, firewall, compatible device, and adequate headset influence the experience. A test should observe audio in both directions, delay, calls on hold, and behavior during transfers.
It is also necessary to define how the extension behaves outside business hours, when the user loses connection, or when more than one device is registered.
- Compatible app and system
- Network connectivity and coverage
- Headset and acoustic environment
- Credentials, permissions, and access blocking
Protect the extension like a corporate account
Credentials allow using the company's telephony identity and should not be shared. Per-user access, revocation when employees leave, and permission review reduce the risk of misuse.
When recordings and history exist, control must also define who can consult the data and how long it is needed for the stated purpose.
When the softphone makes sense
The format helps hybrid teams, temporary workstations, sales, support, and operations that need to bring telephony closer to the computer. It also facilitates dialing from systems when integration is available.
It is not an automatic choice for every workstation. Environments with unstable network, intense noise, or requirement for a dedicated device may need a different design.
Test the softphone in the real scenario
Validate network, device, audio, permissions, and PBX rules with the team's routine before expanding usage.
